We are seeking an experienced Executive Administrative Partner who will play a pivotal role in supporting and empowering our executive leadership team to ensure smooth business operations. You will act as the right hand to our commercial senior leaders, providing high-level administrative support and contributing to the overall efficiency and success of our organization. The ideal candidate will be a proactive problem solver with exceptional communication skills and meticulous attention to detail. Essential Functions and Responsibilities:

  • Provide comprehensive administrative support to our CPO and Commercial executives including managing complex calendars, scheduling meetings, coordinating domestic and international travel arrangements, submitting expense reports, presentation preparation, and meeting notation
  • Make administrative decisions and serve as a trusted liaison between senior leaders, team members, and external stakeholders to ensure clear and timely communication and appropriate follow ups
  • Prepare and edit senior leadership correspondences, reports, and presentations with a high level of accuracy
  • Compile expense receipts, and accurately and thoroughly complete and submit expense reports for reimbursement using the expense reporting system
  • Organize and coordinate senior leadership events, meetings, and conferences, ensuring all logistics are handled seamlessly
  • Support specials projects and initiatives, ensuring deadlines are met and objectives are achieved
  • Research and analyze topics relevant to the industry and stay up to date on industry trends
  • Proactively and independently organize and expedite workflow, initiating follow ups when necessary to ensure schedules and deadlines are met
  • Maintain the highest level of discretion and confidentiality in handling sensitive information to protect operations, including using appropriate discretion in the management of information and stakeholders
  • Collaborate with fellow executive admin team members to deliver exceptional support to company leaders

Education and Experience:

  • Bachelors degree strongly preferred plus 8+ ye­­­­ars experience supporting senior executives, or Masters degree with 6+ years related experience
  • Prior experience supporting executives in a biotech/life science, pharmaceutical, or med-tech company with marketed products, highly preferred
  • Demonstrated success in managing multiple calendars and projects for multiple leaders in a fast-paced environment
  • Experience scheduling domestic and international business travel and accommodations (including passports, visas, etc.), and preparing, reconciling and maintaining expense reports
  • Excellent troubleshooting, project management, and problem-solving skills with high attention to detail
  • Demonstrated success in following through and completing projects on time
  • Experience in and an aptitude for using technology to improve work efficiency
  • Advanced computer skills and demonstrated experience with Microsoft Office Suite, Zoom, and project management tools
  • Must possess a solution-oriented mindset, with the ability to anticipate challenges and resolve them proactively
  • Strong organizational skills, ability to balance multiple priorities in high-pressure circumstances, anticipate upcoming needs, and be agile to switch focus as priorities evolve
  • Ability to adapt to Element’s fast-paced start-up environment and able to build and maintain strong relationships throughout the company

Physical Requirements:

  • Must be flexible in working hours as this position may require executive leadership support during non-regular business hours
  • Frequently moves boxes weighing up to 20 pounds

Job Type:

  • Full-time/Exempt

Base Compensation Pay Range:

  • $97,000 - $118,000

 


In addition to base compensation noted above, you will be eligible for stock options, discretionary annual bonus, no cost health insurance plans, 401k with company match, and flexible paid time off. 

 

Please note: Base compensation will depend on multiple factors, including geographic location, qualifications, and experience.
